## 1. The business, in three lines

- What the company does:
- Who uses the system daily (roles and headcount):
- Where they use it (office, counter, warehouse, on the road):

## 2. The problem being solved

- What happens today, manually or in the current system:
- What it costs you (time per day, errors per week, money, or lost sales):
- What must be true for this project to have been worth it:

## 3. Must-have modules — phase one only

List only what phase one cannot launch without. Everything else goes in section 4.

| # | Module | Who uses it | Why it cannot wait |
|---|--------|-------------|--------------------|
| 1 | | | |
| 2 | | | |
| 3 | | | |
| 4 | | | |
| 5 | | | |

## 4. Explicitly later (phase two or beyond)

-
-
-

## 5. Explicitly out of scope

Name what you are NOT asking for, so nobody prices it and nobody assumes it.

-
-

## 6. Integrations

| System | What must flow | Direction | Do you have API docs / credentials? |
|--------|----------------|-----------|-------------------------------------|
| | | | |
| | | | |

## 7. Data you already have

- Where it lives now (spreadsheets, old system, paper):
- Approximate volume (customers, products, transactions):
- Who can answer questions about its quality:

## 8. Non-negotiables

- Languages / RTL support:
- Offline behaviour required? Where:
- Branches / warehouses / currencies at launch:
- Compliance, tax, or e-invoicing requirements:
- Devices the team actually uses:

## 9. Reporting

The person who will read these reports should write this section.

| Report | Who reads it | How often | Decision it drives |
|--------|--------------|-----------|--------------------|
| | | | |
| | | | |

## 10. Constraints

- Target date for phase one in production, and what drives that date:
- Budget range you are working within:
- Internal decision-maker and their availability:
- Existing developers or IT staff, and their role in this project:

**Before you send it:** if you cannot complete sections 3, 5, and 9, the project is not
ready to be quoted — and any fixed price you receive is a placeholder that will move.
